Volunteer: Bookkeeper

REINS is seeking a bookkeeper to keep our organization running smoothly. Our Financial Officer has handled these responsibilities, along with his board duties, for the past several years. He is retiring, and we will be separating the responsibilities. He is willing to assist with turnover and training.

Our current Financial Officer spends approximately 20 hours each month on these duties. A list of duties performed is listed below.


Bookkeeping duties
 Financial statements – classify all bank activity and prepare financial statements
for the Financial Officer for monthly BOD meetings

Payroll – biweekly payroll checks, tax deposits and filings, W2s, etc.,  currently
performed in QuickBooks. Minimal time needed to add/subtract employees,
maintain pay rates and reimbursements, and enter hours for hourly employees
biweekly; overall responsibility for tax payments, employee W-2’s, etc.

Bill pay – approx. 10-20 regular vendors to be paid and various one-offs.
Virtually all are paid via automated bill pay at Summit Credit Union, direct ACH, or
autopay on a credit card. It could likely be done once per month, although some
situations still require immediate payment
Billing for services – We bill families directly via QuickBooks, as well as bill for
reimbursement from Sheboygan County and others (Dept of Human Services)
and IRIS. A somewhat complicated billing process is to be done four times per year.
Deposits – Tracking, reconciling, recording, and ensuring donors receive
personal thank you notes and tax acknowledgement is a fairly time-consuming process.

REINS is looking to file an upcoming vacancy on our Board of Directors for a Financial Officer. This is a key position for our organization. After many years of service, our current Financial Officer is resigning to spend more time with grandchildren. He is willing to assist with turnover and training.

barn/house) and Society (workers’ comp). Renew each year, negotiate rates as
needed, ensure premiums are current
Fundraising
 Assist Philanthropy Director and Grant Writers on financial portion of grant applications and required
reporting
Financials
 Prepare annual budget – work with staff and BOD on setting realistic, achievable
revenue targets and expense limits
 Review monthly financial statements and advise BOD on the propriety of financials
and progress toward budgets
 Work with the external accountant (Begalke) to compile annual financial statements
and required filings (IRS Form 990)
Legal/Compliance
 File/sign various nonprofit required state and grantor required filings and
information

Class time can involve 1-5 participants. Our instructors are extremely attentive to all our participants needs. During each class a number of activities are planned. Each class is designed to bring our participants closer to the goals they have set for themselves. To assist in the smooth running of each session, our equipment assistant works with the instructor demonstrating exercises to be performed, patterns to be followed and provide general encouragement to all of our participants. Horse experience is not necessary.

This is a great way for volunteers to be introduced to all the magic that happens throughout our season!

Become an Unmounted Horse Leader! Help students in the area learn about horses and grow their confidence through the use of horses. Unmounted horse leaders help by being there for the horse and participant, to lead and follow the direction of the instructor. Unmounted Horse Leaders are there to walk in the arena along with the horses and participants, standing with the horses and follow the directions of the instructor.
